This Privacy Policy describes how we collect, use, and protect your personal information when you use our website and app to purchase tickets for events, join ClubTicket Unlimited, and manage your tickets. We are committed to protecting your privacy and complying with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, where it applies, the EU General Data Protection Regulation (GDPR).

Who We Are

ClubTicket is operated by Club Ticket Promotions Ltd, a company registered in England and Wales under company number 13467805, whose registered office is at 77 East Road, London, England, N1 6AH. Club Ticket Promotions Ltd is the controller of the personal information described in this policy.

Collection of Personal Information

When you visit our website or create an account, we may collect certain information about you, including your name, email address and phone number (optional). If you choose to, you can also add a profile photo and your birthday to your account.

When you book, we keep a record of your orders and tickets: the event, ticket type, price and booking fee paid, your booking reference, whether a ticket was sent to someone else, and the time your ticket was scanned at the door.

If you join ClubTicket Unlimited, we keep your membership status, billing dates, any pause, and the member tickets you have claimed.

Payments are handled by our payment provider, Stripe. ClubTicket does not receive or store your full card number; we receive a confirmation of payment and a record of how it was checked (for example whether 3D Secure was used), but not your card number, expiry date or security code.

We record your marketing preferences at checkout and in your account, including whether you used the marketing opt-out box, together with the date and the wording you saw.

We may also collect information about the events you are interested in attending, as well as information about your location and device type.

Use of Personal Information

We use your personal information to process your ticket purchases and to communicate with you about your orders.

We also use it to deliver your tickets to your account, to check tickets at the door, to run your ClubTicket Unlimited membership and billing, to provide customer support, and to prevent fraud and misuse (for example, the QR code on each ticket refreshes so that copies cannot be used).

We may also use your information to personalise your experience and, where permitted by law, send marketing about similar ClubTicket tickets, events, offers and memberships unless you opt out.

Platform Messages, Promoter Marketing and Your Choices

There are three kinds of email. Service emails are necessary to provide the service; you can opt out of either marketing category.

1. Service emails (order confirmations, tickets, membership receipts, account and security messages) are part of the service and are sent whatever your marketing choices.

2. ClubTicket platform messages and recommendations: where permitted by law, ClubTicket may send marketing about similar tickets, events, offers and memberships available through ClubTicket unless you opt out. At checkout, you can tick the marketing opt-out box if you do not want these messages.

3. Named venue, organiser, promoter and partner marketing: where permitted by law and the relevant business is identified to you, ClubTicket may send similar-event marketing on its behalf, or that business may send it directly, unless you opt out. At checkout, you can tick the relevant marketing opt-out box if you do not want these messages. We do not give another business your details for unrelated marketing unless we clearly tell you and have an appropriate legal basis.

You can opt out of category 2 or category 3 at any time under Marketing preferences in your account or by using the unsubscribe link in any marketing email. Opting out does not affect your tickets or service emails.

Disclosure of Personal Information

We may share your personal information with third-party service providers who assist us in processing your orders and delivering tickets to you.

These providers act on our instructions and include:

  • Stripe, for card, Apple Pay and Google Pay payments and membership billing;
  • Resend, to send our emails (order confirmations, tickets, account and marketing emails);
  • Sentry, to detect and fix technical errors on the website and app; it is set up not to collect personal information by default and does not record your screen;
  • Customer support and live-chat providers, which process the messages you send, limited technical information about your browser and the page you are viewing and, if you are signed in, the account information reasonably required to identify you, understand your request and provide support. We use these providers on the basis of our legitimate interests in operating and supporting ClubTicket and, where your request concerns an order or membership, to perform our contract with you;
  • our hosting provider, which stores our website and database and acts on our instructions;
  • the analytics and advertising services described under Cookies below, only if you allow them.

We may share the information needed to fulfil your booking with the venue or event organiser of your event so they can operate the event and facilitate your attendance. They may process that information as an independent controller for their own legitimate event operations. We will not sell or rent your personal information to third parties.

Cookies and Other Tracking Technologies

We use cookies and other tracking technologies to collect information about your use of our website. This information may include your IP address, browser type, device type, and other usage data. We use this information to improve our website and to personalize your experience.

Essential: some cookies and similar browser storage are needed for the website to work, for example to keep you signed in, hold tickets in your basket during checkout, and remember your cookie choice. These are always on.

Analytics and advertising: these are off until you choose "Accept all" or switch them on under "Customize" in the cookie banner. Nothing from these services loads before you agree, and if you reject them they are not used.

Depending on how the site is set up, the analytics and advertising services may include Google Analytics and Google Tag Manager, the Meta (Facebook) Pixel and the TikTok Pixel. They help us measure visits, event page views, checkouts and purchases, and show our ads to people likely to be interested.

You may withdraw your consent to analytics and advertising cookies at any time through the cookie settings control where available, or by clearing ClubTicket site data in your browser and choosing again when the banner appears.

How Long We Keep Your Information

We keep your account information while you have an account. We keep order, payment and ticket records for as long as we need them for accounting, tax and legal purposes, and marketing consent records for as long as we need to show what you agreed to.

We generally retain financial and transaction records for six years after the end of the relevant accounting period, or longer where required to resolve a dispute or comply with law. Other records are kept only for as long as reasonably necessary for the purpose described in this policy.

International Transfers

Some of our service providers (for example Stripe and Resend) may process information outside the UK. Where they do, we rely on the safeguards recognised by UK data protection law, such as adequacy regulations or standard contractual clauses.

GDPR Rights

If you are located in the United Kingdom or the European Union, you have certain rights under the UK GDPR and the GDPR, including the right to access, correct, or delete your personal information.

You may also have the right to restrict or object to our processing of your personal information, as well as the right to data portability.

You can object to or opt out of marketing at any time. You can also withdraw any consent you have given, for example for analytics cookies, without affecting what we did before you withdrew it.

Children

You must be at least 18 to create a ClubTicket account, buy tickets or join ClubTicket Unlimited. An adult may buy a ticket for a younger attendee only where the event allows it. The event's stated age and identification rules always apply.

Security

We take reasonable measures to protect your personal information from unauthorized access, disclosure, or misuse. However, no security system is 100% secure, and we cannot guarantee the security of your information.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws. We will notify you of any material changes to this policy by posting a notice on our website or by email.
